Data processing
We only process your data when you use our services and/or when you choose to provide them to us. You can provide us with information using the contact forms on the websites, by e-mail, by telephone or during a discussion with one of our employees.
Below is an overview of the data that we (may) process:
• The company name;
• The address and contact details of your company;
• The company’s VAT number;
• The CoC number of the company;
• The first and last name of the contact person;
• The telephone number of the contact person;
• The e-mail address of the contact person;
• E-mail address for invoicing purposes.
Processing specific and/or sensitive data
We do not process special and/or sensitive personal details unless you have given us your permission or provided them on your own initiative. We may, for example, process a cover letter or curriculum vitae you provided us with in relation to an application for a position or a (graduation) trainee post at Smartfood Technology B.V.
Our General Terms and Conditions are attached to quotations, and smartfood R&D thus undertakes to treat all information relating to an order from the client and/or the customer him/herself in confidence. An additional confidentiality agreement or non-disclosure agreement (NDA) may be concluded at the client’s request.
Objective and foundation of data processing
We process your personal data for the following purposes:
• The execution of our services and/or other business activities;
• For compliance with legal and/or tax obligations;
• To promote a legitimate business interest.
Automated decision-making
Smartfood Technology B.V. does not use profiling through automatically processed personal details. In addition, no decisions are made based on personal details without involving a person who expresses an opinion about the decision process.
Retention periods
We retain your details no longer than strictly necessary to realise the objectives for which your details are collected (refer to ‘Objective and foundation of data processing’).
We retain your details for as long as is relevant in relation to the employment relationship or agreement; for as long as the law requires us to do so, or until the time the details are no longer required to be retained. The details are deleted as soon as they are no longer required.
Data processing by third parties
Data will only be shared with third parties if this is required for the execution of the agreement we have entered into with you or to comply with a legal obligation.
Third parties who process your personal details under our responsibility do so only for purposes and under conditions that we have agreed with them to guarantee the security and confidentiality of your details.
The use of cookies
Our websites only make use of technical, functional and analytical cookies.

• Object to Smartfood Technology B.V.’s processing of your personal details.
In addition, you retain the right to data transferability, meaning that you can submit a request with us to transfer the personal details we have about you in a computer file to you or another organisation you have indicated.
Send a request for inspection, correction, deletion or data transfer of your personal details or request to withdraw your consent with or objection to the processing of your personal details to info@smart-food.nl. Our focus is to respond to your request as soon as possible and not later than four weeks following your request.
